Volunteer Opportunity: 2025 Back-to-School Check-In & Registration Team

Help us kick off a meaningful day of service by being the first friendly face our volunteers and families see! We’re seeking organized and welcoming individuals to assist with Check-In & Registration for our annual Back-to-School Shopping Event. 

EVENT DETAILS: 

• Date: Saturday, July 26th, 2025 

• Time: Check in between 6:15AM 

• Orientation: Begins promptly at 6:45am (mandatory) 

•  Event Ends: By 10:00 AM (may end earlier depending on flow) 

• Address: Old Navy, San Jose 

• Provided: Salvation Army T-Shirt & a light breakfast.  

ABOUT THE EVENT: 

We’re looking for 5 volunteers to assist as part of the Registration Check-In Team. You’ll manage check-in stations, hand out materials, and ensure everyone is directed to the correct locations. Our Back-to-school event will be serving 175 students in need (grades K-12) pick out essential school clothing. Each student will receive $125 to spend on new clothing, based on personalized Student Profile (with sizes, colors etc.) 

KEY RESPONSIBILITIES: 

• Set up and organize check-in tables and materials 

• Welcome volunteers and families upon arrival 

• Check in pre-registered volunteers using printed rosters & sign in sheets 

• Distribute name tags, t-shirts or event materials as needed 

• Direct participants to orientation or family waiting areas 

• Answer basic event-related questions 

• Communicate any issues (e.g. unregistered attendees, missing information) to the event coordinator 

• Maintain a calm and organized check-in environment 

VOLUNTEER REQUIREMENTS: 

• Friendly and welcoming demeanor 

• Detail-oriented and organized 

• Able to handle check in tools  

• Punctual and dependable 

• Comfortable sitting for up to 3 hours 

• Ages 18+ preferred for this role due to logistics and coordination skills required 

PLEASE NOTE: 

• No walk-ins allowed – all volunteers must be pre-registered 

• Volunteers must use one email per person for registration 

• This Volunteer opportunity is not open to individuals seeking to complete court ordered hours.
